System Operations Manual

Comprehensive guide to the Aesthetic CRM Portal and Mobile App systems.

1. Patient Registration

Navigate to the Patient Registration tab to onboard new clients. Enter their Full Name, Contact Number, and Referral Source. The system automatically generates a unique 12-digit Patient File ID based on the exact date and time of registration (format: DDMMYYHHmmss). You can also check "Assign ID Manually" for legacy files.

2. Billing & Checkout

In the Billing & Checkout tab, select a patient and check the Deals or Custom Procedures they are paying for. In the bill preview, you can toggle whether each item is for the patient ("Self") or a relative ("Family"). The system auto-calculates the 15% Sindh Services Tax. Click "Generate Bill" to create the invoice, schedule the sessions, and print a thermal receipt.

3. Deals & Procedures

Manage your catalog in the Deals & Procedures tab. Create new packages by combining multiple procedures. When billed, multi-session deals automatically stagger future sessions in 3-week intervals without charging duplicate fees.

4. Patient App & Rescheduling

Android users can install the native .apk app, while iPhone users can open the portal link in Safari and select "Add to Home Screen" to install the Progressive Web App (PWA). Patients log into their Mobile App using their Mobile Number as the User ID. By default, their Login Password is the first 3 letters of their name followed by the last 3 digits of their mobile number (e.g., Ayesha with number ending in 567 gets password aye567). They can view their timeline and active deals. If they need to reschedule an appointment, they can use the direct WhatsApp and Call buttons built into the mobile app to contact the clinic.

5. Patient Feedbacks

The Patient Feedbacks tab displays ratings left by patients in their mobile app. You can filter the sentiment charts (Appreciations, Suggestions, Complaints) by month and year to track clinic performance.

6. Data Center

Use the Data Center to export your records to CSV format, or upload historical Excel spreadsheets to import legacy patients directly into the database.
